Privacy Notice for the Loudwater Residents’ Association (LRA) Pursuant to the General Data Protection Regulations (GDPR)
What personal data does The LRA collect?
The data we routinely collect includes members’ names, addresses, email addresses and bank details. We collect this data directly from our members when they choose to join the LRA.
What is this personal data used for?
We use members’ data for the administration of your membership; the communication of information; and the organisation of events.
Who is your data shared with?
Members’ names, addresses and email addresses are available to the LRA Committee. Members’ bank details are only available to the LRA Treasurer. The LRA Treasurer shares this information with the LRA’s bank to set up standing orders to pay for their annual membership.
Your personal data is not passed on by us to any other organisations.
Where does this data come from?
Data for our members comes from them when they choose to join the LRA or when they update their information either directly or via campaigns which the LRA run from time to time such as the “Your Committee Needs Your Contact Details” campaign in 2015.
How is your data stored?
This information is mainly stored in digital form in a Dropbox folder accessible only by the LRA Committee. Bank Details are stored in hard copy by the LRA Treasurer.
Who is responsible for ensuring compliance with the relevant laws and regulations?
The person who is responsible for the LRA discharging its obligations under the GDPR is the Chairman.
Who has access to your data?
Members of the LRA Committee have access to members’ data in order for them to carry out their legitimate tasks for the organisation.
The LRA Treasurer has access to members’ bank details in order to collect the annual subscriptions.
What is the legal basis for collecting this data?
The LRA collects personal data necessary to carry out our membership activities.
How you can check what data we have about you?
If you want to see your basic membership data, please contact the LRA Secretary.
Does the LRA collect any “special” data?
We do not hold any special data as defined in the GDPR.
How can you ask for data to be removed, limited or corrected?
You could maintain your LRA membership but with limited contact details. However, we do need to have at least your name and residential address. This can be implemented for your LRA membership by contacting the LRA Secretary.
Of course this would limit what written information we are able to provide you with, so you would not receive email updates or any other benefits which require an email address.
How long we keep your data for, and why?
We normally keep members’ data after they resign or their membership lapses in case they later wish to re-join.
We delete members’ information when they move away from the Loudwater area, as long as they tell us they have moved, and have not asked to maintain their membership as county members.
We will delete any former member’s contact details entirely on request to the LRA Secretary.
What happens if a member dies?
This information is deleted. However, the LRA requires at least one contact per household to maintain membership.
